MINUTES OF JANUARY 8, 2009
 


 

In attendance were:  Paul Lewis, Janet Winner, Claudia Brooks, Bev Russell, Dick Hawes, Nancy Hawes, Jim Carroll, Alice Carroll, Sharon Ducy, Judy Hamilton, Marlene Looyens, Noreen Kruse, Susan Olson, Jean Jensen, Regina Blake, Rebecca Schierman, Marilyn Barnhart, guest Carol Cullison, guest Ric Catron, and Micheil-Ann Gill.

 1.         Call to Order.  President Micheil-Ann called the meeting to order at 7:00 p.m.  Micheil-Ann welcomed everyone and asked that everyone introduce themselves and talk about their last walks. 

 2.         Secretary’s Minutes.  There is one correction to the November 2008 Minutes.  The Happy Valley Hills & Hollows Walk will be held on October 24, 2009, not October 25.  A motion was made by Noreen to accept the Minutes as corrected.  Sharon seconded the motion, and the motion was carried.

 3.         Treasurer’s Report.  Claudia gave the Treasurer’s Report.  Our bank balance is $909.71 as of January 6, 2009.  The storage rental fee is paid through the end of this year.  We received a discount because we are paying for the year.  A motion was made by Noreen to accept the treasurer’s report.  Sharon seconded the motion, and the motion was carried.

 4.         AVA/OTSVA Report.  Noreen gave the OTSVA report.  At the October meeting, Jan Beal was voted in as vice president, so OTSVA is now looking for a secretary. 

             The challenges for 2009 are the letter A:  Arches, Antique shops, Arenas, and Auditoriums.  Discussion was had about whether the rule will be that you need to go under the arch, or just by it.  This will be double-checked.  You must do seven walks in each category. 

             The challenges for 2010 are the letter L:  Libraries, Lakes, Lanes (like bowling alleys), and Landmarks.  You have to do seven walks for each of those.

             You can be working on the A’s for 2009 and the L’s 2010 effective right now.  The books are being sold for each.

             OTSVA was trying to initiate relief from fines for clubs being late with their registration fees, but that did not pass.  Any club late with registration fees will still have to pay a fine.

             OTSVA’s bank balance as of October was $17,343.57.

             The pumpkin patch walk in October on Grand Island didn’t do well on Saturday because it rained so hard and they only had 55 walkers.  But Sunday, they had a really good day that made up for Saturday.  They asked everyone to donate a can of food for the walk.  The food and the money for the walk were donated to a food bank.  Noreen said since our club is doing good financially right now, we should maybe ask everyone to bring a can of food and donate our proceeds from a walk.  Discussion was had about everyone bringing a can of food to our meetings to donate.  A motion was made by Nancy that anyone who wishes to donate can bring a can of food to each meeting.  The motion was seconded by Claudia, and the motion was carried. 

             Noreen will not be attending the next OTSVA meeting and asked if anyone else would like to attend in her place.

             Noreen has taken over the job of sending cards to people.  She passed cards around the group to sign for Dick Baker, and Dale and Joe, to let them know we are thinking about them. 

 5.         Member Accomplishments.  The following people were acknowledged in the Northwest Pathfinder: 

                         Sharon completed the Four F’s

                        Judy completed the Four W’s

                        Marlene completed 575 events

                        Bev completed 650 events

                        Sharon completed 1,200 events

                        Marlene completed 6,000k

 6.         Business Items.

             A.        Christmas Party.  Noreen thanked everyone for all the help with the party and for the food they brought.  Everyone indicated that they enjoyed the party and would like to have the party at the same place next year.  Noreen will check into booking the social room for our Christmas 2009 party.

             B.        Club Dues.  Claudia is taking money for club dues now:  $10 for an individual and $20 for a couple.

             C.        Website Update.  Micheil-Ann is building the new website.  She has signed up for a class in website creation and design at Mt. Hood Community College that will start on January 13.  She will have the club’s website up sometime in January.  Marilyn made a motion that Micheil-Ann be reimbursed for the cost of the class ($65.00).  Janet seconded the motion and the motion was carried.

             D.        Business Cards.  Micheil-Ann prepared a label to place over the outdated information on the club’s current supply of business cards.  An updated card was passed around for the club’s approval.  Micheil-Ann will buy the labels and print them to bring to the next meeting. 

             E.         Sign-Up Sheets.  Micheil-Ann passed around a sign-up sheet for the refreshments, door prizes, Springwater Trail clean-up, and club walks.

             F.         Phone Committee.  Micheil-Ann asked if the phone committee should continue and if the committee wants to continue making the calls.  Everyone agreed that it should continue, and Dick and Alice will continue to do the calling to remind members of the meetings.

 7.         New Business.

             A.        Letter of Support Requested.  Ric is a park planner for the Parks & Recreation Department for the City of Gresham.  He is working on a grant for a 12 foot wide, paved, handicap accessible, multi-use trail segment of the 40 Mile Loop.  The new segment is along Palmquist Avenue and will provide pedestrian access along the new Sports Park currently under construction.  The Sports Park itself will eventually have a one mile loop perimeter walking path.  This new facility is not far from the Springwater Trail.  He asked for a Letter of Support to accompany the grant application.  Claudia made a motion that the club provide Ric with a Letter of Approval to accompany the grant application.  Dick seconded the motion.  A vote was taken, and the motion was unanimously approved.  Ric will contact Micheil-Ann about the letter.  The application has to be submitted by February 2, then Ric will go before the committee in March, the committee will make the recommendation to Gresham City Council in May, and he will find out then if the grant will be given.  If the grant is received, the project will be completed by June 2010.

                         An aside:  the 40 Mile Loop Group has a website at:  www.40mileloop.org.

             B.        Contribution for Boyd.  One of Boyd Dicker’s neighbors gave the club $50 in memory of Boyd.  Discussion was had about how to best spend the $50 to ensure a lasting memorial.  One of the ideas was to purchase a memorial brick for the Healing Garden at Mt. Hood Medical Center.  The bricks will be in a wall inside the hospital.  The cost of a brick is $150.  Fifty dollars does not cover the cost of a brick, so it was discussed whether we should make personal contributions or make a club contribution to pay for a brick.  Jean said she liked the fact that the healing garden is in our community and easily visible.  It was agreed that the club name should be on the brick, abbreviated to ECWW.  It was suggested that we give personal donations to Claudia, and at the next meeting, see how much has been collected.  It was also suggested that we have a donation jar for Boyd available at our next walk.  Claudia mentioned that time is of the essence in the availability of the bricks, and we may not want to wait that long to purchase the brick. 

                         A motion was made by Jean that the members give their personal donations to Claudia.  She will then know by the next meeting how much we are short, if any, and at that time, the club could vote on adding a club donation to bring the total collected to $150.  Marlene seconded the motion, a vote was taken, and the motion carried.

             C.        Memorial Walk for Boyd.  It was suggested, since we are in the process of planning four walks for this year, there isn’t time this year to do one. 

 8.         Walk Updates.

             A.        20th Anniversary Walk.  Bev said the preparations are moving along.  She and Marlene are scouting out the walk areas.  The official papers were received by the College and have been signed and returned to them.  The College is requesting a copy of the insurance coverage from AVA. 

             B.        Arts Walk.  Regina said it is coming along. 

             C.        Mt. Tabor Walk.  Janet said she has seen an article already about the festival in the Oregonian and we are already in the Mt. Tabor community news.  The brochure and Pathfinder notice have been drafted.

             D.        Happy Valley Hills & Hollows.  Claudia said the Happy Valley Walk will be essentially the same but would have an additional walk this year. 

             Claudia suggested that the trailmasters be sure to get any city or park permits required for any of our upcoming walks.

 9.         Updating Roster.  Micheil-Ann passed the roster around the group and asked everyone to review their contact information and add their cell phone numbers.  She will prepare a new roster that will be available at the next meeting.

 10.       Door Prize.  The door prize was provided by Regina and was won by Judy.

 11.       January Club Walk.  Rebecca signed up for the January club walk.  The club walk will be the Walt Morey Walk on Saturday, January 17.  Meet at 9:00 at the Mt. Hood Medical Center lobby.

 The meeting adjourned at 8:30 with everyone enjoying refreshments provided by Claudia.
